The Procurement Services Coordinator plays a critical role in supporting our organization’s day-to-day procurement activities and operations. This role involves an understanding of the Procure to Pay (P2P) process, facilitating transactions, ensuring compliance, and working closely with various internal & external stakeholders.  Focuses include customer service, assortment support, supplier engagement, and purchase order processing to facilitate seamless procurement operations.

Essential Functions:

  1. Monitor and process incoming procurement requests from our field and corporate personnel.  Prioritize and re-distribute tasks based on urgency and subject matter to ensure timely fulfillment.
  2. Maintain the procurement intake database and help identify any trends or issues for process improvement.
  3. Gathering KPI data for monthly metrics reporting.
  4. Provide exemplary customer service to all stakeholders by responding to all inquiries in a timely manner. 
  5. Assist with assortment support and challenges.  Identifying back orders, substitutions, NLA’s, price changes, etc. and working collaboratively with the product assortment stakeholders.
  6. Engage with eCommerce platform stakeholders on inquiries relating to the eCommerce tool including product image, description concerns, connectivity & processing issues, and order budget requests. 
  7. Coordinate with suppliers on various purchase order concerns including product availability, delivery issues, lead times, etc.
  8. Deliver ongoing training to the field staff and corporate personnel to optimize existing procurement tools and systems.
  9. Assist Procurement Team with any ongoing projects and initiatives as needed.
  10. Oversee procurement needs related to the corporate office, including but not limited to coffee program, small equipment, freight, and postage.

 

Minimum Job Qualifications:

  • Associate or bachelor’s degree in business preferred and/or related procurement experience.
  • A minimum of two years of procurement experience.
  • Oracle Cloud ERP experience preferred.
  • Coupa Procurement Software experience preferred.
